FROM PROJECT CONCEPT TO COMPLETE GRANT APPLICATION
Preparation of grant applications
We prepare grant applications and other forms of funding: we develop project justification, budget, schedule, indicators, and required attachments. We reference each element of the documentation to the regulations and criteria of the specific call.
You can commission a full application, an independent review of completed documentation, or assistance in responding to an institutional request. We determine the scope of work and the parties' responsibilities before commencing cooperation.

Budget, indicators and criteria
Review and supplement the application
The initial inquiry serves to prepare a quote. Detailed analysis and documentation development are paid services; the terms and scope of support are specified in the agreed-upon contract.
INITIAL DIAGNOSIS OF THE SCOPE OF SERVICE
What support do you need?
Answer five questions. You'll receive a recommended scope of service and a list of issues to address before a quote is provided.
The recommendation will appear after all responses have been provided.
SELECTING THE RIGHT SERVICE
When is it worth outsourcing the preparation of an application?
The best time to begin work is when you're familiar with the selected call and can describe the project. If you're still looking for a funding source, a separate analysis of the options is the right first step.
I haven't chosen a program yet
First, check the programs that are appropriate for your entity, location, and planned investment. This will help you avoid preparing application documentation that doesn't align with your project.
- Grant Map – call for proposals by location, type of applicant and form of support
- Funding areas – instruments and conditions for companies divided into areas
- Knowledge Base – substantive articles and program overviews
- Analysis and selection of funding – paid support if you don't find a job on your own
I know about the call for proposals and I want to prepare the documentation
Please send the regulations or call number, information about the entity, and a project description. After reviewing the scope, we will determine responsibility for individual documents, the deadline, and the cost of the service.
- Analysis of the regulations, criteria and application form
- Project budget in line with the rules of expenditure eligibility
- Descriptive part, indicators, schedule and attachments
- Support in submitting applications and responding to requests, in accordance with the agreement
WHAT DOES APPLICATION PREPARATION INCLUDES?
From the project description to the complete application documentation
A well-prepared application isn't just a form. It's a coherent project whose description, budget, indicators, attachments, and schedule meet the requirements of a specific call.
Project description and logic
Justification of the need, objectives, target groups, tasks, results and response to the substantive criteria.
Budget and schedule
Cost qualification, allocation of expenses to tasks, price justification and a realistic implementation plan.
Indicators and attachments
The logic of the indicators, their verification sources, required declarations and agreed analyses, e.g. business plan i financial analysis.
Verification and submission
Checking the consistency of the document package, supporting work in the application system and responding to calls, if covered by the contract.
| Criterion | Full application preparation | Audit of the completed application | Answering the call |
|---|---|---|---|
| When | Selected call for proposals, identified project assumptions and time for development | Ready-made documentation design before shipment | Request from the institution and deadline for response |
| What the customer provides | Data about the entity, project description, offers, financial and formal documents | Working application, budget, attachments and call documentation | The summons, the submitted application and the documents covered by the summons |
| Result | An agreed package of documents ready for authorization and submission in the application system | Report errors, inconsistencies, and change recommendations | Draft response and amended documentation within the limits of the request |
Important: The detailed scope of cooperation is defined in the agreement. We make every effort to ensure that the prepared documentation meets the requirements of the given call and complies with the evaluation criteria. The final decision on granting funding rests with the relevant institution.
EXPERIENCE IN VARIOUS AREAS OF FINANCING
What projects can the application process cover?
The projects we support can span a wide range of industries and applicant types. Programs vary in application structure, attachment list, and criteria, so we always prepare documentation specifically for a specific application.

QUALITY AND SECURITY OF DOCUMENTATION
What most often determines the quality of an application?
Project evaluation is based on documentation and competition criteria. Even a good idea can lose points due to budget inconsistencies, unverifiable metrics, or missing attachments.
Meeting the access criteria
Before preparing the description, we check the formal conditions, including the entity's status, industry restrictions and public aid rules.
A coherent description of the project
The justification of the need, purpose, tasks and results should form a logical whole, corresponding to the competition criteria.
Measurable indicators
Baseline and target values, measurement method and documents confirming the achievement of results.
Expenditure eligibility
Costs must correspond to the expense list, be justified and properly assigned to tasks; we also check VAT and the form of assistance.
Completeness of attachments
The list of declarations, financial attachments, ownership documents and permits depends on the regulations and the type of project.
Deadlines and formal authorization
We provide work scheduling and document version control. Signatures and authorization in the system are performed by authorized individuals.
Verify the project start date. With incentive-based funding, commencing work before submitting an application may preclude funding. Rules for other instruments vary. Binding orders, signed contracts, and preparatory work should be assessed individually.
Supplementing the application does not mean any change to the project. Pursuant to Article 55 of the Implementation Act, corrections are made within the scope of the summons and in accordance with the regulations; the deadline for the summons runs from the day following its electronic transmission.
HOW DOES THE COOPERATION WORK?
How is documentation prepared?
We divide the work into three clear stages. The schedule, material approval process, and division of responsibilities are specified in the offer or contract.
01
Document verification and work plan
We review the regulations, criteria, and available materials. We determine any missing documents, scope of service, schedule, and price.
02
Preparation of documentation
We create a project description, budget, schedule, and agreed-upon attachments. The client approves the data and provides documents requiring signatures.
03
Submission and any necessary additions
We help prepare the package for shipment; authorization is performed by an authorized person. We prepare responses to requests, if the contract covers them.
WHAT IS NEEDED FOR A QUOTATION
How to prepare a request for a quote for an application?
First, we need basic project information, not a complete set of documentation. Based on this, we can determine what work is needed and whether implementation is feasible within a given timeframe.
- Type and scope of investment: what is to be implemented and what expenses it covers.
- Project location: voivodeship, municipality, rural or urban area.
- Applicant status: legal form, size, connections, de minimis aid received.
- Planned schedule of activities: when the investment is to start and end.
- Name of the selected program or call for proposals, if known.

FREQUENTLY ASKED QUESTIONS
Frequently asked questions about preparing an application
Do you prepare the application with attachments?
Yes, within the scope agreed upon in the contract. We can develop a project description, budget, schedule, indicators, and analytical appendices. Source documents, proposals, decisions, declarations, and signatures of authorized persons are provided by the applicant, unless we agree on a different organizational scope.
What is the difference between preparing an application and auditing ready documentation?
Full preparation involves developing documents for a specific call. The audit covers an existing application: we verify its consistency, compliance with criteria, and risks, and then provide comments. Any necessary amendments are agreed upon separately.
Can I only order a response to a request for supplementation?
Yes, after submitting the request, the submitted application, and any attachments. Article 55 of the Implementation Act limits the scope of additions and corrections to those indicated in the request, in accordance with the project selection regulations. The feasibility of implementation depends on the time remaining until the deadline.
Can you submit an application on my behalf?
We assist in preparing documentation for submission and operating the appropriate system, in accordance with the call rules. If an electronic signature or authorization by an authorized person is required, this is performed by the applicant or a duly authorized representative. We discuss the organizational details before submitting the application.
What if I don't know about the funding program yet?
First, you need to select the appropriate call for proposals. You can check the Grant Map and Knowledge Base, or commission a separate analysis and funding selection process. Only after understanding the call documentation can you prepare a reliable scope and cost estimate for your application.
How long does it take to prepare an application?
This depends on the project's complexity, the number of attachments, the deadlines for submission, and the completeness of the materials. Audits, proposals, business plans, and formal documentation can be particularly time-consuming. In very tight deadlines, we first confirm the acceptability of the order.
Do I need offers and quotes before we start working together?
Not always, but the cost range should be reasonably estimable. Regulations may require bids, price analysis, or cost justification. A lack of estimates can prolong budgeting and complicate assessment of the project's feasibility.
Does preparing an application guarantee obtaining a grant?
No. Projects are evaluated and selected by the appropriate institution based on the selection criteria and available allocations. Preparing documentation reduces the risk of errors and facilitates project submission, but does not determine the outcome of the competition.
How do you bill for the service and what does the price include?
The price and payment method depend on the type of program, the scope of documentation, the deadline, and any assessment services required. Various fee models are available, individually agreed upon in the quote. Before commencing work, we indicate which activities are included in the price and which require a separate order.
The analysis methods used in the documentation are described in the article Strategic methods for evaluating a project in a grant application, and environmental requirements in the article DNSH principle in EU projects.
